01Why does an EDM sending list need regular maintenance?
If your list keeps addresses that no longer exist, are deactivated, misspelled or refusing mail, your sending system will keep generating bounces. That wastes sending quota and can damage the reputation of your sending domain and IP — so even valid recipients stop receiving your emails. A solid EDM list-management routine covers three things: read the bounce reason, take the right action, and keep an auditable record.
02What is the difference between a Hard Bounce and a Soft Bounce?
A Hard Bounce (permanent failure) means the message can never be delivered — for example the address does not exist, or the receiving server has permanently blocked you. In practice you should stop sending immediately and add the address to a global suppression list; if you suspect a valid contact was blocked by a security policy, confirm with your contact there before removing the block.
A Soft Bounce (temporary failure) usually means a transient problem — a full mailbox, an offline receiving server, too much mail in a short window, an oversized message, or content/authentication not meeting policy. These addresses do not need immediate deletion, but set an observation threshold and a review deadline; if failures repeat, pause sending and ask for updated data.
03How do you read the reason inside a Return Email?
- Confirm the original recipient: find the Final-Recipient, Original-Recipient or the email address shown in the bounce message.
- Check the status code: as a rule of thumb 4xx is a temporary error and 5xx is permanent — but always defer to your provider's classification and the full message.
- Read the Diagnostic-Code: search for keywords such as user unknown, mailbox full, blocked, policy, spam, DMARC or message too large.
- Cross-check sending records: confirm which campaign the bounce belongs to, the send date, the sending domain, and whether it is a first-time or repeat bounce.
- Update the list by rule: suppress permanent failures; mark temporary failures for observation with a next review date.

05The EDM list-management SOP: from import to unsubscribe
- Only use lists with clear consent: keep the subscription source, date, purpose and proof of consent; avoid purchased or unknown-source lists.
- Clean before import: remove duplicates, blanks, obvious typos, role-based mailboxes and previously unsubscribed addresses; use double opt-in for new lists.
- Maintain one master list: do not let departments keep their own versions. Use Email as the unique key and manage status, source and last-engagement date centrally.
- Review after every send: export Hard Bounces, Soft Bounces, unsubscribes, spam complaints and non-engagers after each campaign.
- Apply suppression rules: Hard Bounce, unsubscribed and complained addresses must be suppressed across all future campaigns — not just removed from one campaign list.
- Manage Soft Bounces: follow the platform's default retries; if an address Soft Bounces repeatedly, pause it and have the list owner verify.
- Handle sleepers regularly: run a re-engagement campaign for contacts with no opens or clicks for a long time; if there is still no response, reduce frequency or stop sending.
- Review quality metrics monthly: track at least delivery rate, Hard Bounce, Soft Bounce, unsubscribes, complaints and engagement trends, and log anomalies with corrective actions.

07Sender authentication and the new bulk-sender requirements
Your sending domain should have SPF, DKIM and DMARC correctly configured. Google requires SPF or DKIM for regular senders, and SPF, DKIM plus DMARC for bulk senders, with TLS transmission recommended. Yahoo likewise requires bulk senders to align SPF, DKIM and DMARC, offer an easy unsubscribe, and keep the spam complaint rate below 0.3%. So beyond cleaning addresses, list managers should work with IT or their EDM platform provider to monitor domain authentication, complaints and the unsubscribe mechanism.

09EDM list management FAQ
Can I resend to a Hard Bounce address?
As a rule, no. If it was a typo, obtain the correct address and add it as a new record. If you suspect a false positive from the recipient's security policy, have them or their IT confirm the block is lifted, then resume after testing.
After how many Soft Bounces should I stop sending?
Each EDM platform sets its own threshold — start with the platform default. Internally you can add a more conservative rule, such as pausing after several consecutive Soft Bounces, then reviewing manually based on the error reason, recent engagement and the importance of the contact.
Is deleting invalid addresses enough?
No. You also need to add the address to the global suppression list so it cannot be re-imported from another source. Keep the bounce type, reason, handling date and owner on record so anomalies can be traced and mistakes are not repeated.
